Introduction of a new document management system at the city of Mannheim
In the course of the product introduction, the number of users and thus the amount of the license fees will increase successively:
In the 1st year of introductory (2026), 750 users are affiliated, in the 2nd The year there are a total of 2,750 users. A list of growing user numbers is shown below. The introduction of the e-file is to be brought to a conclusion by 2030 and the product in the complete city administration is to be used, which corresponds to around 6,000 usage licenses. This assessment is based on the current number of PC workstations in the city, whereby it has been taken into account that a certain proportion does not have to be connected to the e-files system. In addition, there are expenses for training (10 training days), the migration of old data from the old DMS into the new Product (80 personal days) as well as a reserve for post -programming, in particular from interfaces to specialist procedures used in the administration (100 personal days).
To bring about the operational readiness:
- implementation of the system until complete commissioning;
- takeover the transaction data;
- including maintenance, updates and releases;
At the beginning of 2026: Construction of the operational readiness (configurations), billing as a flat rate
2026: Training for administrators and multipliers (10 training days)
2026-2028: Migration old data, approx. 80 personal days
